Auto Associations Pro - HubSpot’s Auto Associations, But Buffed
Part of: HubSpot AssociationsHubSpotters love auto associations. But they wish it could do more.
So we built that.
Me and Tikita Tolley have spent the past month putting together Auto Associations Pro - an enhanced version of HubSpot’s native “auto associations” feature that ties your data together better.
Emails to a contact and the contact’s deals. Calls to a ticket and its associated company.
That kind of thing.
Why Build This?
Because we kept seeing the same complaints in the forums - problems that the native auto association feature almost solves, if it was just a bit more powerful.
Issues like:
- Not working with all objects
- Not working with changes made by the API
- Few targeting options for the objects to associate onto Auto Associations Pro fixes all of these, while providing a foundation for even more powerful auto association rules in the future.
Rules - The Core of Auto Associations Pro
At the core of the app are rules.
And each rule has the ability to eliminate a headache.
Rules have three main components:
- Subject - The record you want to auto associate from one thing to another.
- Source - Where the subject comes from.
- Target - Where it goes. Here’s a simple example:
“Associate emails from contact to company.” Now all emails associated with a contact will also show up in the company records that contact is associated with.
You can do this with anything:
“Associate contacts from company to contacts.” This associates all the contacts linked to a company together, so you can easily see workmates and bosses from the contact view.
Super simple. Super powerful.
Filters - The Real Power Move
With Auto Associations Pro, you’re not stuck with HubSpot’s “magic number 5” limit.
You get target filters:
- Associate to everything
- Associate to the X newest records (where X can be any number you want)
- Associate to records with association label X This makes the rules not just powerful - but flexible enough to fit almost any use case.
The bottom line?
If you’ve ever wished HubSpot’s auto associations could do just a bit more - this is what you were wishing for.
Full Object Support
You can now associate across all these objects:
- Contacts
- Companies
- Deals
- Tickets
- Quotes
- Invoices
- Appointments
- Calls
- Communications
- Emails
- Meetings
- Notes
- Postal mail
- Tasks
Special Rule - Conversation Emails to Contacts on Tickets
One of the biggest frustrations in HubSpot:
When a new ticket is created, HubSpot only associates the contact in the first email’s “from” field.
Our new Special Rule fixes this:
- It turns all other emails (in “from” and “cc” fields, and those added later in the conversation) into contacts and associates them with the ticket.
- You can even provide a list of email addresses to exclude from contact creation.
The Takeaway
Smarter associations tie related records together automatically - emails to companies, contacts to their colleagues, conversation participants to tickets - so your team sees the full picture without manual linking. That’s the difference between a CRM that just stores data and one that actually connects it.
